Purpose

Records Management defines what should happen to archived information once its retention period has ended.

Where a Retention Protocol answers the question how long should this be kept?, Records Management answers the next question: what happens when that period is over?

What this screen is for

This page gives an overview of the Records Management strategies that are available in the current context.

The central idea is simple: once information reaches the end of its retention period, ArQiver still needs to know what action should follow.

In practice, the two main strategies are:

  • Automatic Eviction
  • Manual Eviction

In this example, the selected strategy is Manual Eviction.

That means the object is no longer treated as normally available in the archive once the retention period has ended, but it is not removed immediately by default. Instead, it is listed for manual follow-up in Maintenance.

This kind of approach is especially relevant in contexts where removal should be reviewed or explicitly approved before final deletion.

Automatic and manual eviction

Automatic Eviction

With automatic eviction, the system schedules the object for removal once the retention period has ended.

Manual Eviction

With manual eviction, the object must first be reviewed or explicitly handled through a maintenance flow before final removal is completed.

This is often the more cautious option when information should not disappear without human review.

Visibility and final removal

Once an object reaches the end of its lifecycle, it may no longer be visible through the normal archive and workspace views.

At the same time, ArQiver can still keep a limited grace period in the background before the object is permanently purged. This provides a short recovery window in case removal needs to be reconsidered.

Why this matters

Records Management ensures that the end of the lifecycle is handled deliberately rather than implicitly.

That helps organisations avoid keeping information indefinitely, while also making sure that deletion is handled in a controlled and explainable way.
